The energy service provider from Vorarlberg had been faced with an increasing number of repetitive requests to the HR department for some time. In the midst of a digitalisation process, the company was also looking for an innovative splash of colour in the HR system landscape. This is how the company became aware of digital HR assistance. After a short discovery phase, the plan for the introduction of our Sophie was finalised.

Initial situation
The HR Services department at illwerke vkw was characterised by a high level of manual processes, which impaired efficiency and employee satisfaction.
Standard questions often had to be clarified, which led to delays and placed an additional burden on the HR department. There was a need for a solution to optimise HR support and improve the flow of information.

Solution
The digital HR assistant Sophie was introduced to reduce the workload in HR Services. Sophie reminds managers of birthdays in their team and sends reminders via MS Teams. Employees can ask their HR questions at any time in the FAQ module and receive quick, automated answers.
Project
During the project phase, the necessary interfaces to the existing systems were set up to ensure seamless integration. A dedicated team of HR experts and IT specialists worked to develop a comprehensive FAQ module tailored to the most frequently asked questions from employees. Once Sophie had been sufficiently trained, the pilot phase started in summer 2022 with a selected group of employees.
This test group provided valuable feedback on Sophie's user-friendliness and functionality. The pilot phase was successfully completed in December 2022 and Sophie was released to all employees as "your little HR friend". An expansion of the range of modules is planned to offer additional functions and support for employees.
